This Privacy Policy describes Our policies and procedures on the collection, use and disclosure of Your information when You use the Service and tells You about Your privacy rights and how the law protects You.

We use Your Personal data to provide and improve the Service. By using the Service, You agree to the collection and use of information in accordance with this Privacy Policy.

Interpretation and Definitions

Interpretation

The words of which the initial letter is capitalized have meanings defined under the following conditions. The following definitions shall have the same meaning regardless of whether they appear in singular or in plural.

Definitions

For the purposes of this Privacy Policy:

  • Company (referred to as either "the Company", "We", "Us" or "Our" in this Agreement) refers to EasyATS.
  • Website refers to EasyATS, accessible from https://easy-ats.com.
  • Service refers to the EasyATS application and Website, including recruitment and talent-pipeline features provided online.
  • You means the individual accessing or using the Service, or the company, or other legal entity on behalf of which such individual is accessing or using the Service, as applicable.

Collecting and Using Your Personal Data

Types of Data Collected

Personal Data

While using Our Service, We may ask You to provide Us with certain personally identifiable information that can be used to contact or identify You. Personally identifiable information may include, but is not limited to:

  • Email address
  • First name and last name
  • Account and organization details
  • Usage Data

Recruitment and Candidate Data

When You or Your organization use EasyATS as an applicant tracking system, You may upload or process candidate and recruitment-related information (such as resumes, contact details, interview notes, and hiring status). That data is processed to provide the Service to Your organization. Where We process such data on behalf of a customer organization, that organization remains responsible for its lawful collection and use.

Usage Data

Usage Data is collected automatically when using the Service. Usage Data may include information such as Your Device's Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our Service that You visit, the time and date of Your visit, the time spent on those pages, unique device identifiers and other diagnostic data.

Google Account Connection (Gmail, Calendar, and Drive)

You may optionally connect Your Google account so EasyATS can act on Your behalf for recruitment features. This connection is user-initiated through Google's OAuth consent screen. We do not access Your Google account unless You choose to connect it.

When You connect Google, EasyATS may request and use the following types of Google user data, limited to the features You use:

  • Gmail (read and write emails): send recruitment emails to candidates and applicants from Your connected mailbox; read message and thread content related to those recruitment conversations so replies can appear in EasyATS.
  • Google Calendar (create, edit, and delete meetings): create, update, and delete interview events on Your calendar, including Google Meet links when You schedule interviews through the Service.
  • Google Drive (read and download files): list folders and download files You select (for example, resumes) so they can be imported into EasyATS. We do not use Drive access for unrelated browsing or storage.
How We Use Google User Data

We use Google user data only to provide and improve the recruitment features You request in EasyATS — sending and organizing candidate communication, scheduling interviews, and importing documents You choose. We do not use Google user data for advertising, and We do not sell it.

Storage and Security

OAuth access and refresh tokens are stored encrypted at rest. Email subjects, bodies, and metadata that You send or sync through EasyATS, and interview/meeting details (including calendar event identifiers and Meet links), may be stored in Our database as part of Your organization's recruitment records. Drive file contents You import are processed for candidate intake and then handled under the same recruitment data practices described above.

Sharing

We do not sell Google user data. We do not transfer Google user data to unrelated third-party applications except as needed to operate the Service for Your organization (for example, hosting and infrastructure providers under contract) or when required by law.

Google API Services User Data Policy — Limited Use

EasyATS's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Revoking Access

You may disconnect Your Google account at any time in EasyATS Account Settings under Email & calendar. Disconnecting removes Our stored OAuth tokens for that connection. You may also revoke EasyATS access in Your Google Account permissions. After revocation, EasyATS will no longer be able to access Your Gmail, Calendar, or Drive data through that connection.
